TO: Mayor and City Council Mark McNeill, City Administrator FROM: Rachel Romansky, IT Specialist DATE: 04/02/2013 SUBJECT: Authorization to Purchase Replacement Computers (F) Action Sought The Council is asked to authorize the purchase of 20 desktop computers with monitors and 2 laptop computers at a total cost of $21,000. Background The City currently has 22 computers that are up for replacement this year according to our PC replacement plan; two of which are laptops. The City's computers are generally on a 4 year replacement cycle in order to meet hardware requirements. This replacement plan allows us to stay current with new software applications, software updates and windows operating systems. In the past, monitors have not been included in the PC replacement cycle, however, due to a large number of the City's older computer monitors failing, staff has included replacement monitors in this year's budget. The City has received quotes from four vendors - SHI, CDW -G, TIES, and Now Micro. TIES, a Minnesota non - profit company, was able to provide us with the best price for the devices. Budget Impact The cost of the PC replacements, including tax and shipping, is $21,000. This is a planned and budgeted purchase from the IT Fund, brought forward to Council due to the total dollar value. Action The Council is asked to authorize appropriate City staff to purchase 20 desktop computers with monitors and 2 laptop computers from TIES for an amount not to exceed $21,000. Attachments:
