TO: Mayor and City Council Mark McNeill, City Administrator FROM: Sherry Dvorak, Recreation Supervisor DATE: 03/19/2013 SUBJECT: Approval of Schleper Stadium Scoreboard Purchase (D) Action Sought If Council concurs, move to authorize the purchase of a new Daktronics Scoreboard from Aim Electronics in the amount of $45,069.19. Introduction City Council is asked to authorize the purchase of new scoreboard for Schleper Stadium to replace the existing scoreboard. Background and Discussion The existing scoreboard at Schleper Stadium was purchase in May of 1991 through advertising funds in the amount of approximately $25,000 raised by Shakopee Baseball. In the past few years, the technology in the existing scoreboard is making it more difficult to find replacement parts. In 2011 & 2012, the scoreboard was hit by lightning and portions of the electrical panels needed to be replaced. When the technician was here in 2012, he mentioned that the need to start looking at a replacement plan had come as the company can no longer guarantee replacement parts. Staff met with representatives of the user groups of Schleper Stadium to discuss options for the new scoreboard and additional funding sources. Acting on behalf of the Shakopee Amateur Baseball Association, members of the user groups sold ad space on the new scoreboard. Of the six spaces, four are sold for a total of $18,000. They also have received an in -kind donation in exchange of an ad space from Greystone Construction to install the new scoreboard. This donation from Greystone does not include any additional materials that may be needed to install a scoreboard that would be taller than the existing scoreboard. Proposed Scoreboards We have obtained two price quotes on similar scoreboards. The scoreboard units themselves are similar, however the ad space and enhancements are a little different. (See attachments 1 & 2) Daktronics Scoreboard w /clock option Estimated cost: $47,980.00 plus tax Nevco Scoreboard Estimated cost: $42,141.00 plus tax With this information, we are recommending the purchase of the Daktronics Scoreboard without the clock option in the amount of $42,170.00 plus tax. The existing scoreboard at Schleper Stadium, as well as most others in the community are a Daktronics brand scoreboard. Aim Electronics, the local agent for Daktronics has provided great service in the past Budget Impact The City has $35,000 budgeted in the Park Asset Fund CIP for the replacement of the scoreboard in 2013. The advertising sold by the Shakopee Amateur Baseball Association of $18,000 will also go towards the purchase of the scoreboard. The total available for the new scoreboard is $53,000. There may be some additional cost with the installation due to the height on the new scoreboard being taller than the existing. Selecting the Daktronics scoreboard without the clock provides additional funds if needed. The scoreboard delivery takes approximately 6 weeks. The scoreboard will then be installed during the month of May. We will coordinate the installation so not to interfere with baseball games. Relationship to Visioning D. Maintain, improve and create strong partnerships with other public and private sector entities. Requested Action If Council concurs, move to authorize the purchase of a Daktronics Scoreboard from Aim Electronics in the amount of $42,170.00 plus tax.
