CITY OF SHAKOPEE Memorandum TO: Mayor and City Council Mark McNeill, City Administrator FROM: Kris Wilson, Assistant City Administrato jQ k #' SUBJECT: Acceptance of Resignation and Authorization to Advertise for Communications Coordinator DATE: September 28, 2012 Action Sought The City Council is asked to accept, with regret, the resignation of Lori Cram from the position of Communications Coordinator, adopt an updated job description for the position and authorize staff to begin the hiring process. Background Ms., Cram was hired as the City's Communications Coordinator in October of 2006. After six years of service to the City, she has submitted notice of her resignation, effective October 12, 2012. The resignation was received just as the Council packet for this meeting was being finalized. Therefore, staff would like to take a day or two to review and make any necessary updates to the position description and bring that forward for approval at Tuesday night's meeting so that the recruitment and hiring process for Ms. Cram's successor can begin as soon as possible. Relationship to Vision: This is a housekeeping item (Goal F). Requested Action After reviewing an updated job description Tuesday night, the Council is asked to offer a motion to accept, with regret, the resignation of Lori Cram from the position of Communications Coordinator, to adopt the updated job description and to authorize staff to begin the hiring process to fill the vacancy. 10.Dz 2. City of Shakopee CI���', C 'V� Position Description Position Title: Communications Coordinator Department: Administration Reports To: Assistant City Administrator FLSA Status: Non-Exempt Approved: POSITION SUMMARY This position is responsible for bringing professional communication skills and tactics to City efforts to inform, educate and communicate with residents,businesses, employees and other stakeholders. Responsible for content, organization and layout of electronic and print newsletters, City website,press releases, brochures and other informational pieces. Coordinates City's social media tools and accounts. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. • Plans, coordinates and prepares both electronic and print newsletters; including soliciting story topics and content,writing articles,proofreading and editing; and page layout. • Assists City departments with the preparation of brochures,press releases and other informational documents for both internal and external use. • Responsible for content, organization and layout of external City website and internal employee intranet site. Works with individual departments to identify, format and publish relevant information and with IT staff to resolve any technical difficulties related to the website. • Guides the City's use of social media tools such as Facebook and Twitter. • Establishes and maintains positive relationships with representatives of local and regional media outlets. Distributes news and information to appropriate and varied outlets in order to reach the target audience. • Works to continuously expand the reach of the City's communication efforts and to continually improve and refine the accuracy, clarity and presentation of information far its intended audience. • Researches and follows trends and developments in the communications field. Recommends implementation of those likely to advance the City's communication goals. • Assists Telecommunications Coordinator with production of Government Access programming by identifying and suggesting topics and assisting with research and script preparation. • Performs other related duties as apparent or assigned or apparent. QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. EDUCATION and/or EXPERIENCE Bachelor's degree in communications,public relations,journalism or related field and two-years related experience; or equivalent combination of education and experience. Local government experience desirable. LANGUAGE SHILLS Must have excellent written and oral communication skills; ability to read and interpret a wide variety of documents containing a range of technical terminology and information; ability to communicate complex and technical information to a diverse audience including City residents, local businesses, elected officials and members of the media. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. CERTIFICATES,LICENSES,REGISTRATIONS The applicant must have a valid Minnesota driver's license. OTHER SKILLS AND ABILITIES Experience with Windows-based desktop publishing software, such as PageMaker, Photoshop and Adobe Acrobat. Basic photography skills highly desirable. Broad understanding of the role, functions, and responsibilities of city government. Demonstrates the ability to establish and maintain good working relationships with co-workers and the public. Must be able to prioritize work load and manage multiple projects or tasks at a time. PHYSICAL DEMANDS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
