SUBIECT: Council Chamber Camera Upgrade
DATE: September 29, 2011
I Introduction
The Council is asked to review a recommendation from the Telecommunications Advisory Commission
to move forward with an upgrade of the cameras in the Council Chambers.
Background
ast year staff proposed a two-phase projed to upgrade the Council Chamber control room and camera
i system. Staff introduced the project in two phases to keep the costs down and manageable. Phase one
included the purchase and installation of a Broadcast Pix Slate 1000 system with a control room
i overhaul and installation of the chamber confidence monitoc This was completed in 2010.
Phase two includes the purchase of six new pan-tilt-zoom (PTZ) cameras. The current cameras were
installed in 2003 and have exceeded their warranty and expected lifespan. Purchasing new cameras will
allow us to complete the project as designed and presented in 2010 and fully utilize the features of our
' Broadcast Pix system. The new cameras will provide improved picture quality and additional coverage
• angles. Additionally, with cameras that integrate into our Broadcast Pix system, our cable technicians
will only need to use one system instead of two, thereby allowing them to work more efficiently.
Budget
The current balance of the PEG fund is $65,515. Money in the fund comes from a monthly forty-cent per
subscriber fee collected by Comcast Cable and can only be spent on capital equipment purchases related
' to the Public, Education, and Government Access channels. Quotes for this project were obtained from
Alpha Video and AVI. Alpha Video offered the lowest price, totaling $35,115, before sales tax and
shipping, forthe recommended package.
Recommendation
The Telecommunications Advisory Commission is recommending that Council approve the replacement
of the Council Chamber cameras, as proposed by Alpha Video, at a total cost not to exceed $40,10.
Action Requested
If the Council concurs, it is asked to approve the purchase and installation of new cameras for the
i Council Chambers, from Alpha Video at a cost not to exceed $40,100.
