Introduction
The Council is asked to authorize the expenditure of up to$20,000 from the Building Fund for Phase 2 of
needed interior improvements to City Hall.
Background
In February, the City Council authorized the expenditure of$20,000 from the Building Fund for Phase 1
of a project to spruce up some areas of City Hall. This money has been used to purchase new furniture
for five offices and a small meeting space on the second floor, which is home to the newly merged
Finance/City Clerk Department. This area has also been freshly painted and deep cleaned.
When this money was approved, staff indicated that a Phase 2 request would be coming forward and
we are now ready to proceed with those projects. Therefore, staff is requesting a second allocation of
$20,000 from the Building Fund. This will provide new office furniture for the two large offices along the
Holmes St. side of the building that used to house the City Clerk's division. Facilities staff is currently
stripping wallpaper, painting and deep cleaning these spaces. Moving forward they will provide space
for four employees—with two assigned to each office. Additionally, as part of Phase 2 we are looking to
replace all window curtains and blinds with new blinds on both the first and second floor of the building.
The window treatments currently in place are a mixture of items, including some threadbare curtains
that we can no longer get clean and blinds that can no longer be opened and closed. Two quotes have
been sought for this portion of the project, with the low quote being for$5,483.
Funding for a third round of improvements to the interior of the building is likely to be sought yet this
year. This phase 3 would include new seating and window treatments for the lobby area, removal and
reconfiguration of the large counter area in the Administration wing, and some new cabinetry for
storage that is currently in the public view.
Budget Impact
The Building Fund has a current balance of approximately$6 million. The expenditure of$20,000 for
phase 2 improvements at City Hall will have a little impact on the health of the fund.

Requested Action
If the Council concurs, it is asked to authorize staff to spend up to$20,000 for Phase 2 of needed
furnishings and window treatments for City Hall.
