Introduction
The Council is asked to authorize the expenditure of up to $20,000 from the Building Fund for new
furnishings for City Hall.
Background
There is a need to purchase some new office furnishings for various parts of City Hall due to a variety of
factors. The merger of the City Clerk's Division and the Finance Department is going to result in the re-
assigning of various office spaces in the building in order to physically group employees as a
Department. Additionally, there is a desire to make certain spaces on the main floor more presentable
to the public view.
For many years, when the City was growing rapidly, there was a hesitation to invest any money in the
current City Hall building due to discussions of a possible new City Hall being built. However, money for
"maintenance and improvements" continued to be set aside in the euilding Fund year after year. At this
time, there are no plans to relocate City Hall and we now expect to continue occupying the current
building for many years to come.
The vast majority of furnishings currently in the building are approaching twenty years old and are
showing their age. There has been no regular budget or project to update and maintain furnishings
since the City moved into the building in 1993.
Staff has sought out quotes to furnish two offices on the 2 floor and based on those prices, believes
that with a$20,000 budget, the total needs for offices on the 2n floor can be met. This is not a
complete replacement -- existing furnishings will still be used where appropriate. A Phase II request to
improve select spaces on the 1�` floor will be forthcoming later this year.
Budget Impact
The Building Fund has a current balance of approximately $73 million. The expenditure of $20,000 for
phase 1 improvements at City Hall will have a little impact on the health of the fund.

If the Council Concurs it is asked to authorize staff to spend up to $20,000 for needed furnishings for City
Hall, focusing primarily on the office spaces on the 2 nd floor.
