City of Shakopee MEMORANDUM TO: Mayor and City Council Mark McNeill,City Administrator 1 (�,'� FROM: Kris Wilson,Assistant City Administrato��y�^�' � SUBJECT: Boards&Commissions Appreciation DATE: June 12, 2012 Introduction The Council is asked to provide feedback and direction regarding the City's annual appreciation event for Board and Commission members. Background Every summer since 1985,the City has held an annual Boards&Commissions Appreciation Picnic to thank those individuals who serve on the City's nine advisory boards and commissions. There are a total of 49 board and commission members, all of whom serve on a volunteer basis with the exception of Planning Commission members who earn a very modest$50 per meeting attended. Invitations are extended to all board and commission members and their families, plus Council members and their families. Staff who regularly work with the various boards and commissions are also invited to attend with their families. Unfortunately, attendance has been relatively modest in recent years and there has been a noticeable lack of Council members attending to directly thank these volunteers. In 2009 there were a total of 91 RSVPs, in 2010 there were 81 and in 2011 there were 92. Recognizing that those numbers include ten or more staff members and their families, as well as family members of our volunteers, I would estimate we are reaching only about 15 of the 49 board and commission members we are trying to thank. Therefore, before scheduling the same old appreciation picnic again this summer, staff would like some input from the Council. Is there still a desire to hold an annual appreciation event for board and commission members? Should we do something other than the traditional picnic? Schedule it at a different time of year? (In recent years the picnic has been on a weekday evening in July.) Change up the menu? Have more of a program or entertainment in addition to the meal? Budget Impact The cost of putting on the current picnic for approximately 90 people is about$400. Requested Action The Council is asked to discuss and provide direction to staff regarding the desired method of thanking members of the City's advisory boards and commissions.
