SUBJECT: Vacation Accrual for City Administrator

Introduction
The Council is asked to approve the placement of the City Administrator on the regular schedule of
vacation accrual for exempt employees.
Background
At the time the current City Administrator was hired, his employment agreement provided that he
would earn 20 days of vacation per year. This is consistent with what exempt employees with 5 to 15
years of service earn under the City's Personnel Handbook. However,the City Administrator's contract
did not provide for any future increases in the amount of vacation accrued. Now that the Administrator
has been with the City for sixteen years, this agreement is resulting in him earning less vacation time per
year than other exempt employees with the same years of service to the City.
Recommendation:
I recommend that the Council authorize the placement of the City Administrator on the regularly
established schedule of vacation accrual for exempt employees, based on his years of the service to the
City.
The schedule, which can be found in Chapter 8,Section 5 of the Personnel Handbook, currently reads as
follows:
0—5 years employment 120 hours annually
6-15 years employment 160 hours annually
16—20 years employment 200 hours annually
21+years employment 200 hours plus 8 hours for each year worked over 20,
to a maximum of 240 hours

Requested Action
If the Council concurs, it is asked to offer a motion to authorize the accrual of paid vacation leave by the
City Administrator in accordance with the established schedule for exempt employees found in the
Personnel Handbook, effective luly 2, 2012.
