City of Shakopee Memorandum To: Honorable Mayor, City Council Mark McNeill, City Administrator From: Deputy Chief Poole tlVvt Date: May 19,2003 Subject: Additional Personnel Locker File Drawers Introduction The police department is seeking authorization to add file drawers to the personnel lockers in the new police facility. Back2round Police officers currently have a personal file drawer available to them for the purposes of storing their court notices, request for continued investigation, training records, payroll information and any other information they may deem personal and/or important. The design of the new police facility does not accommodate a similar storage component. During the early planning stages attempts were made to locate a personnel locker that contained a file drawer and it was discovered the manufacturer either no longer made that style locker or they had gone out of business. BKV worked out an agreement with an office furniture company to sell us just the file drawers and eM Construction would install the drawers into the personal lockers. The cost for the additional 80 file drawers is $132.22 per drawer or $10,577.60 for the drawers and the installation. The final proposal was received on the 14th of May and carries a seven day suspend option, which means the contractor will only hold the price for seven days. Jon Rall, BKV project manager, has reviewed the proposal and recommends the City accept the proposal. Bud2et Impact The police building contingency fund balance is $373,180. If Council authorizes this expenditure the new contingency fund balance will be $362,602. Recommendation Staff recommends the use of contingency fund dollars to purchase and install file drawers in the personnel lockers at the new police building. Action Requested If Council concurs, they should, by motion, authorize the purchase and installation of personal file drawers in the personnel lockers at the new police facility for a cost not to exceed $10,600.
