/s&c.2.~
CITY OF SHAKOPEE CO~~SENT
Memorandum
To: Honorable Mayor, City Council
Mark McNeill, City Administrator
Prom: Deputy Chief Poole If
Date: June 24, 2003
Subject: Purchase of Storage Shelving for New Police Building
Introduction
The police department is seeking authorization to purchase storage shelving for the new
police building.
Background
The construction contract for the new police building did not include storage shelving for
the Property and Evidence Room. The ability to properly store evidence is imperative to
protecting the integrity ofthe evidentiary chain of custody. The shelving currently being
used falls short of our current and future needs. The proposed shelving system will meet
our current and short-term future needs. The fact the proposed system will allow for
expandability without increasing square footage makes the proposed system very
beneficial to the Department.
Three companies that sell and install commercial grade shelving submitted quotes for
shelving, delivery, assembly and sales tax. William J. Business Interiors submitted a
quote for $8,453.97; Storage Equipment Inc. submitted a quote for $8700.00, and
Material Handling Group, Inc. submitted a quote for $4,986.33. All three vendors
submitted similar floor plans that included a comparative number of storage units and/or
running feet of shelving.
Budget Impact
Funds exist in the police building contingency fund for this proposed purchase. The
current balance is $328,038 and it will be $323,051, if Council approves the purchase.
Recommendation
Staff recommends the purchase ofthe proposed shelving system from Material Handling
Group, Inc.
Action Requested
Council should authorize by motion, ifthey concur, the purchase of storage shelving for
the new police building Property and Evidence Room from Material Handling Group,
Inc. for a dollar amount not to exceed $4,986.33.
