Michael Leek, Community Development Director SUBJECT: Contract for part-time LOGIS MIS support services for the rest of 2003 DATE: July 1, 2003 INTRODUCTIONIDISCUSSION: The City is well served byits current MIS Coordinator. However, the City and the MIS Coordinator currently are involved in several MIS-related major projects (e.g. the new police building, INET, new phone system, potential upgrade of public works building). The level of activity not related to major projects is reflected in the attached table titled "Project Requests Received - January - June 2003." In order to make sure that smaller requests can be dealt with in a timely manner without resorting to consideration of additional MIS staff, I propose entering into an agreement with LOGIS (attached) committing to Shared Network Administrator time at $45.00/hour up to $15,000.00 for the year. The hourly rate is significantly less than the usual technician rate for LOGIS. Funding would come from already budgeted LOGIS, operating supplies, and/or professional services amounts. Also attached is the proposed schedule for the shared administrator to be in Shakopee through the end of the year. ALTERNATIVES: 1. Offer and pass a motion authorizing the appropriate City officials to enter into an agreement for 2003 with LOGIS for Shared Network Administrator services at $45.00/hour up to a total not to exceed $15,000.00 2. Do not authorize the appropriate City officials to enter into an agreement for 2003 with LOGIS for Shared Network Administrator services at $45.00/hour up to a total not to exceed $15,000.00 3. Table action on this item and request additional information from staff. STAFF RECOMMENDATION: Staff recommends alternative no. 1. The City of Shakopee will pay LOGIS a minimum of $15,000 ($45/hour) in the year 2003 for services to be rendered by the Shared Network Administrator. The Shared Network Administrator will be allocated to the City of Shakopee every Wednesday and Thursday (with exceptions) beginning July 9,2003 and ending December 18, 2003. A tentative schedule is outlined on page two. Currently, the Shared Network Administrator has been committed to another LOGIS member for one week per month for the year 2003. For that week, the City of Shakopee will either schedule and alternate day during that week or schedule that date later in the year 2003. In the event another LOGIS member would like to schedule the Shared Network Administrator for one week's time, a similar arrangement will be made. LOGIS members that choose to schedule for one-week increments will be given priority. The City of Shakopee will be given priority for the dates allocated for the Police Department move. These dates will be clarified when the move is scheduled. The City of Shakopee and LOGIS will work together to make any adjustments necessary to the scheduling of the Shared Network Administrator. Kim Henke will coordinate all scheduling changes for the City of Shakopee. Kim will coordinate the schedule changes with Kristin Callin or Janelle Rients at LOGIS.
