Subject: Purchase of Office Furnishings for New Police Building
Introduction
The Police Department is seeking authorization to purchase office furnishings for the new
police building.

Council approved the construction contract for the new police building several months
ago. The contract designated $300,000 ofthe $5.5 million contract award to be used for
the purchase of office furnishings. Construction of the new building has reached the
point when furnishings need to be ordered for the construction time line to be met by the
contractor.
A building committee from the police department has worked with the BKV group
interior design representative and three different office furniture vendors to be able to
provide an affordable, efficient, and ergonomically correct work environment for the
members of the department. The three different vendors, William J. Business mteriors,
Metro Systems, and Workxite, were chosen after touring their showrooms and different
sites they have furnished. The three vendors were asked to provide itemized quotes for
the furnishings required and then we were able to pick thru the shopping list for the best
possible prices on every item. All vendors provided pricing based either on a State
contract or a Hennepin County contact. This process allowed for the building to be
completely outfitted and under the designated contractual dollar amount.
Bud2et Imvact
The three vendors each provided an itemized quote for the furnishings provided by their
company. Metro Systems is providing some tables, storage cabinets and other ancillary
office equipment for $35,542.24. Workxite is providing primarily the different types of
chairs and other seating furniture needed for $40,447.98. William J. Business mteriors
will be providing the workstations and remaining office furnishings for a total of
$221,216.63. The total cost of all of the office furnishings is $297,206.85 including sales
tax, delivery and set-up. The furniture portion of the construction contract is $300,000.
Recommendation
Staff recommends the office furnishings be purchased from the identified vendors for the
pricing listed.
Action ReQuested
Council should, if they concur, by motion authorize the purchase of office furnishings for
the new police building from the three identified vendors for an amount not to exceed
$297,206.85.
