CITY OF SHAKOPEE MEMORANDUM To: Mayor and City Council Mark McNeill, City Administrator From: Mark McQuillan, Natural Resource Director Subject: New Play Equipment for Pheasant Run Park Date: June 17, 2003 INTRODUCTION Staff request Council's approval to hire Mom's Landscaping and Design, LLC for landscaping and concrete installation at Pheasant Run Park, BACKGROUND At the June 10, 2003, City Council Meeting, Council tabled staff's request to hire Mom's Landscaping & Design for the site work at Pheasant Run Park, Mom's Landscaping submitted the lowest proposal to grade the site, establish turf, install concrete sidewalks, and add tree and shrub plantings, The park planner estimated the cost for this phase of the project would be about $30,000, The low quote came in at $49,225,00 or $15,000 more than what was approved by Council. Council directed staff to slash $15,000 from the plan before bringing it back for approval. On Friday, June 13, 2003, I met with Ann Bach and Jen Millis of the Pheasant Run Park Committee, Councilman Joe Halcamp, Craig Weckman of Mom's Landscaping & Design at the Community Center to look at ways to downsize the cost of the project. From our discussions, the following items are being trimmed from the project: . All Plant material including trees, . Stamped concrete . Concrete sitting wall . Concrete table pad . Soil amendments . Soil removal or additional soils . Any watering of sod These reductions from the project net a savings of $13,300,00, The budget total to date is as follows: $49,065,62 (Play equipment) $35.925,00 (Site Work - grading & cement work) $84,990,62, Sub total We still need $600,00 for supervisory costs for the playground assembly and $450,00 for concrete mix to secure the posts of the play unit. This would brinq the proiect total to $86.040,62, Midwest Playscapes, Inc, has agreed to donate the use of their bobcat to auger the holes for the posts, This is a savings of $400,00, Public Works is also willing to pre-drill the holes the night before the volunteers assemble the equipment if needed, ALTERNATIVES 1. Authorize the appropriate City officials to enter into agreement with Mom's Landscaping and Design, LLC, for the site work at Pheasant Run Park, 2, Table for further information . " RECOMMENDATION Alternative #1 ACTION REQUESTED Staff is requesting two motions. Move to approve the increase of funding for Pheasant Run Park Project from $85,000,00 to $86,240,62 with funding allocation from the Park Reserve Fund, Move to authorize appropriate City officials to enter into agreement with Mom's Landscaping and Design, LLC, for the site work for Pheasant Run Park at an amount not to ex e 35,9925.00, d, ' 4 . .
