CITY OF SHAKOPEE CONSENT Memorandum To: Honorable Mayor, City Council Mark McNeill, City Administrator From: Deputy Chief Poole Date: June 27,2003 Subject: Hiring of Police Building Contents Movers Introduction The Police Department is seeking authorization to hire a moving firm to move the selected contents from our current building to the new police facility. Back!!round There are some items that must be moved from our current building to the new police facility, the most important of these being computers and the contents of the property and evidence room. The last time the contents of the police department was moved was in 1975, a move accomplished by the members of the police department. Today, due to labor agreements and concern for work comp claims this is not an acceptable choice. The use of Public Works Department employees is also not a suggested option for the same reasons plus the City would incur lost productivity and they would charge for their time. The cost of the move is not included in the new building contract and according to BKV not an appropriate cost to be deducted from the contingency portion of the contract. Two moving firms were contacted for tours of our current building, All Furniture Commercial Services and We Haul Moving & Storage, after which both submitted proposals. All Furniture's proposal estimated the cost of the move to be $3,027.00. We Haul Moving's proposal estimated cost of the move to be no more than $2800.00. All Furniture provided an impressive list of references while We Haul Moving is a small local firm from New Prague with experience in moving police agencies and evidence rooms. Bud!!et Impact Funds exist in the 2003 Police Budget to pay for the proposed moving costs. Recommendation Staff recommends We Haul Moving & Storage be hired to move the selected contents of the current police building to the new police facility. Staff makes this recommendation partially because We Haul Moving & Storage successfully moved the Carver County Sheriffs Department without incident. Action Requested Council should, ifthey concur, by motion, authorize We Haul Moving & Storage to move the selected contents from the current police building to the new police facility for a fee not to exceed $2800.00.
