City of Shakopee Memorandum TO: Mayor & City Council Mark McNeill, City Administrator FROM: Kim Henke, MIS Coordinator SUBJECT: Server Equipment DATE: December 8, 2003 Introduction New computer server equipment is required to replace outdated and non-functional equipment. Background The City currently has a total of six file servers and three tape backup units. Two file servers and one tape backup unit resides at each of the following locations: the police department, city hall, and the community center. Most ofthis equipment was purchased in September of 1999. In addition to the equipment being very old and the operating system outdated, some ofthe equipment is filled to capacity and some of the equipment has failed. Consolidation of the equipment was planned to logically occur with the completion ofthe new police department building, which has a space designed specifically for a centralized server location. To reduce replacement costs and support requirements, the servers and other equipment will be consolidated. Three servers will be installed, and will utilize shareable, external storage areas, a tape backup unit, and communication equipment. This equipment will be housed at the new police department building where existing UPS and generator backup is available. The !NET will facilitate the access from the other municipal buildings. Gateway was chosen for the server solution because of several factors. Gateway was the cheapest solution (compared to Compaq and Dell); they offer timely support on server products, and the City has experienced great PC support and reliability with Gateway over the past few years. Budget Impact The cost ofthis equipment, including shipping and tax, is in the amount of $35,540. These funds will be taken from budgeted MIS supplies funds. 1 Action Authorize appropriate city staff to purchase computer server equipment as described above an amount not to exceed $35,550 from budgeted MIS funds 2
