Subject: Acceptance of Donations from Shakopee Amateur Baseball, Resolution No. 6853 INTRODUCTION City Council is asked to adopt Resolution No, 6853, a resolution of the City of Shakopee, Minnesota, accepting a monetary donation in the amount of $5000.00 and the property donations of the bleacher seating and new speaker system from Shako pee Amateur Baseball. BACKGROUND AND DISCUSSION The City has received a monetary donation from Shakopee Amateur Baseball in the amount of $5000.00. This donation is a portion of the total amount of revenue collected over the course of the 2008 State Amateur Baseball Tournament held earlier this year. The donation will be used for future stadium improvements that Park Maintenance would like to accomplish. An example of the type of improvements funded by the donation would be to update the electrical for the stadium light towers. The City is also accepting the bleacher seating that was built in preparation for the tournament. City Council approved the construction of the bleachers at their May 20, 2008 meeting. The final cost of the project was $44,500.00. The bleachers were constructed by Greystone Construction and paid for through a combination of revenue generated from the tournament, a silent donor and contribution from Greystone Construction. Kevin O'Brien submitted the attached letter as a final report on the project (Attachment A). Shakopee Amateur Baseball also purchased a new speaker system valued at $2500,00. These speakers will remain at the stadium. The City of Shakopee appreciates the generosity of Shakopee Amateur Baseball, which helps support the City's parks and recreation services, specifically activities taking place at Joe Schleper Stadium. The City's donation policy requires a 2/3 vote to accept cash donations over $1,000 and donations of real property. RELATIONSHIP TO VISION D. Adopt Resolution No. 6853, a resolution of the City of Shakopee, Minnesota, accepting the donations from Shakopee Amateur Baseball. s~ Recreation Supervisor RESOLUTION NO. 6853 A RESOLUTION OF THE CITY OF SHAKOPEE, MINNESOTA ACCEPTING A MONETARY AND PROPERTY DONATIONS FROM SHAKOPEE AMATEUR BASEBALL. WHEREAS, on November 6, 2002, the City Council adopted Resolution No. 5794, which established procedure relating to the receipt of gifts and donations by the City; and WHEREAS, Resolution No. 5794 specifies that donations of real property shall be accepted by resolution of the City Council, and shall require a two-thirds majority of the Council for acceptance; and WHEREAS, SHAKOPEE AMETUER BASEBALL has generously given a monetary donation in the amount of $5,000 from proceeds of hosting the 2008 State Amateur Baseball Tournament, and also a property donation of bleacher seating and new speaker system; and WHEREAS, such donations will help to improve Joe Schleper Stadium and enhance the overall quality of life in Shakopee. NOW, THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF SHAKOPEE, MINNESOTA, that the donations are gratefully accepted; and FURTHER, the donations shall be used for improvements at Joe Schleper Stadium, which is consistent with the wishes of the donor. FURTHER, the City staff is directed to send a letter to the donor, acknowledging receipt of the gift and expressing the appreciation ofthe City Council. The final cost was substantially higher than the original estimate. This was due to three factors: 1. Concrete handicap viewing was required in front of the bleacher 2. Pushing the bleacher back 5'-0" to allow for handicap accessibility required the bleacher to be raised 1'-6" in order to provide proper sight lines 3. We were required to pay SACjW AC charges The final cost of the project was $44,500.00. The work was paid for as follows: Tournament Committee Paid (Greystone) $20,000.00 Tournament Committee Paid (Choice Electric) $2,500.00 Anonymous Donation $10,000.00 Greystone Donation $12.000.00 Total $44.1:\00.00 The actual cost was higher than $44,500.00. The following material and work was donated: - All maintenance free decking and seats were obtained at cost with no mark-up from By the Yard, Inc. - Some work required to move underground second electrical conduit was donated by Choice Electric - All painting of handrails was donated by Jerry Plambeck - Steel fabrication work was discounted $3,000.00 by Mid-County Fabrication - Some of the labor was done by volunteers from over 35 baseball team members, Shakopee Coyotes, and Shakopee Indian's Teams 500 S. Weare equally proud of the stadium itself. Shakopee's City staff at all levels including the Building Official, Parks and Recreation and Maintenance were great to work with. The pride that Bill and Pinky and their staff take in this facility is obvious. Most importantly, I want to state how proud we are to have worked with the tournament chairs and all of their volunteers. They did Shakopee proud!
