Council Meeting Locations ~ ; CITY OF SHAKOPEE MemoYandum TO: Mayor and City Council FROM: Mark McNeill, City Administrator SUBJECT: Council Meeting Locations DATE: January 30, 2008 INTRODUCTION: The Council is asked to give direction on where the February 1 lth workshop, and the March 18th regular Council meetings should be held. BACKGROUND: February 1 lth Goal Setting Meeting--This discussion is tabled from the January 15th meeting. At that time, there was a question as to whether the City Council Chambers would be the site for a Goal Setting meeting, when the format of discussion and cablecasting are often not well-suited for the Chambers' traditional seating arrangements. Previously, Council has held its Goal Setting sessions at the Police training room. Alternate locations could be the Rotary Room at the Community Center, or the Roll Call room at the Police Department, which are both available that evening If, however, the deciding factor is whether there is an ability to cablecast, the City Council Chambers would have to be location. If that is the case, the Historic Preservation Advisory Commission would need to be relocated from their regular meeting location that night. March 18th Regular Council Meeting -Also as discussed at the January 15th meeting, the Shakopee Showcase conflicts with the regular City Council meeting that evening. Council asked that staff investigate the possibility of holding the Council meeting at Canterbury Park, so that more people would be able to see it. The Shakopee Showcase runs from 6:00 to 8:00 pm that evening. We did speak with Canterbury Park. While space is available, it does present some logistical problems. Because of noise concerns, it appears that the most logical place at Canterbury would be the Ascot Lounge, which is located on the third floor. $ecause it would be out of the way of most Shakopee Showcase attendees, there would have to be signage directing people to the location, and we anticipate that would reduce the number of "drop-in" visitors. There are also concerns about the sound system -there is a small portable system available, but that would be limited to three or four microphones. Cable- casting could only be done on a tape-delay system. In view of the above, our recommendation would be to hold the regular City Council meeting at City Hall, beginning at 8:15 pm. RELATIONSHIP TO VISIONING: This supports Goal F -Housekeeping ACTION REQUIRED: Council is asked to give direction as to meeting locations for the February 11th Goal Setting session, and the March 18th regular City Council meeting.
