CITY OF SHAKOPEE
Memorandum
TO: Mayor and City Council
FROM: Mark McNeill, City Administrator
SUBJECT: Special Meeting ChangesfLTpdate
DATE: 3anuary 15, 2008
INTRODUCTION:
The Council is asked to consider and approve changes to the special meeting calendar
which was recently approved.
BACKGROUND:
Since the Council discussed this subject at the December 18th City Council meeting, the
need for updates is apparent:
1. The Telecommunications Advisory Commission (TAC) joint meeting with
Council was scheduled to beheld on the same night as a joint meeting between
the Council and the PRAB. Another issue has come up for the TAC which will
require more time for that meeting. In addition, it appears that the discussion with
PRAB could take the entire evening.
2. The Scott County Board of Commissioners has requested time for a joint meeting
with the Council. Depending on the subjects to be discussed, that meeting could
take less than an hour.
DISCUSSION:
While Scott County is confirming their availability, it appears that Tuesday, February
12th is possible for a meeting between the City Council and Scott County Board, and also
a joint meeting between the Council and the TAC. The meeting would begin at 6:30pm.
This would allow the entire evening of January 29th to be devoted to PRAB, including a
discussion of the future of the Community Center.
Assuming this is acceptable to the Council, a summary of future meetings for January
and February as currently scheduled is as follows:
Tuesday, January 22"a -City Council meets with HPAC, EDAC, and EAC
Tuesday, January 29th - Council/PRAB meeting
Monday, February 4th -Regular City Council meeting
Monday, February 11th - 2 year Goal Setting meeting
Tuesday, February 12th -Joint meeting between City Council and County Board
(tentative), and City Council/TAC
Tuesday, February 19th -Regular City Council meeting
LOCATIONS:
We recommend that the joint meeting with the PRAB be held at the Rotary Room at the
Community Center. This will give the participants an opportunity to tour the building
before discussion starts.
For the February 11th goal setting session, if it is similar to previous goal setting sessions,
it will likely involve a discussion technique that will credit involve "snow cards", and a
summarization on white board or chartpacks. That is not always conducive to good cable
casting and therefore some of those meetings have previously been held at other locations
other than in the Council Chambers. However, the police training room is not available
on February 11th. Council should discuss where they would like this to be held.
RELATIONSHIP TO VISIONING:
This supports -Goal F: Housekeeping.
RECOMMENDATION:
I recommend the Council approve the January 29th Joint meeting date with the PARB
alone, and establish a new, meeting night on Tuesday, February 12th, for TAC and County
Board (if available). That meeting would start at 6:30pm.
ACTION REQUIRED:
If the Council concurs, Council should comment by motion, establish a Joint meeting
date on Tuesday, February 12th at 6:30pm.
