SUBJECT: Funding for IT Disaster Recovery System

Introduction
The City Council is asked to consider a recommendation from the Telecommunications
Commission regarding funding for phase one of an IT Disaster Recovery System.
Background
During its November 20 review of the City's 2008 budget, the Council approved a
motion to direct the Telecommunications Commission to look for a way to fund phase
one of a disaster recovery system for the ment via a budget improv ment package back in
was originally requested by the IT depart
August.
At their December 5 meeting, the Telecommunications Commission considered the
request and discussed the proposed disaster recovery system with the City's IT
Coordinator. The Commission considered several different scenarios for funding the
$56,000 project, including using funds from the current year's budget as well as from the
2008 budget.
Recommendation
As of November 30, we are projecting that the 2007 Telecommunications Fund budget
will be under spent by approximately $80,000. This is the result of the decision not to
move ahead with acity-wide wireless Internet project and a couple of planned purchases
for the cable studio that ended up not being needed.
Therefore, the Telecommunications Commission is recommending that phase one of the
IT disaster recovery system be purchased out the 2007 Telecommunications Fund budget,
at a cost not to exceed $56,000. Funding this purchase with 2007 dollars will allow the

Budget Impact
The total cost of phase one of the disaster recovery system is $55,713. It will be
purchased from an Eden Prairie based company called Xiotech. The City has purchased
from Xiotech in the past and they are on the state contract.
As noted above, we are projecting an underspend of approximately $80,000 in the 2007
Telecommunications Fund budget, so there is enough money to make this purchase yet
this year. It should be noted that since the Telecommunications Fund is not part of the
General Fund, leaving the full $80,000 underspend intact would not help the City reach
the planned 4%underspend for the General Fund.
