Authorization to Purchase Government Access Edit Suite J~ V + ' I City of Shakopee Memorandum ter, • ~ ~ i':&~" 1 tY . .L 6 is TO: Mayor and City Council Mark McNeill, City Administrator FROM: John Peterson, Telecommunications Coordinator SUBJECT: Authorization to Purchase Government Access Edit Suite DATE: December 6, 2007 Introduction The Telecommunications Advisory Commission is recommending that the City Council authorize the purchase of hardware and software for a Government Access Edit Suite. Background One of the goals of the telecommunications division is to begin producing original programming for the Government Access channel, so that we can air more than just government meetings. Some examples of original programming would be a quarterly news-style program highlighting the latest news and information from the City, a Mayor's Update show, and/or public service announcements from the Police and Fire departments. A new staff edit suite is needed to facilitate the production of these types of shows. The edit suite will include a laptop computer, video editing software, graphic creating/editing software, external speakers, external monitors, and various external accessories. Budget The 2007 Telecommunications Fund budget includes $16,000 for this purchase. The recommended hardware, software and accessories total $15,275 (not including tax or freight). Relationship to Vision One of the strategies in the City's Strategic Vision is to foster community connections, between and amongst the City, community groups and individual residents. This purchase will allow us to more fully utilize one of the communication means we have available to us (Channel 16), and will therefore contribute toward this goal. Recommendation The Telecommunications Advisory Commission has reviewed the recommended list of hardware and software and is recommending its purchase. Requested Action If City Council concurs, it should offer a motion to authorize the purchase of hardware and software for a Government Access Edit Suite at a cost not to exceed $16,000. 1
