Introduction
The City Council is asked to approve the attached job description for the position of IT
Coordinator.
Background
The existing job description for this position, which is titled MIS Coordinator, was written in
2001 when the City hired its first full-time IT staff. Since that time, our IT system has expanded
and evolved significantly and we have added a second IT position which now handles some of
the responsibilities that were originally listed in the MIS Coordinator's job description.
Additionally, the position now reports to the Assistant City Administrator and is part of the
Administration Department, rather than the Community Development Director as indicated on
the old job description.
As a result of these changes the existing job description is significantly out of date. I have
worked with IT Coordinator Carrie Duckett to update the job description so that if reflects the
current responsibilities of the job.
Budget Impact
The revised job description has been reviewed by the City's pay plan consultant, and it is his
recommendation that it remain in Grade 8 of the City's Non-Union Pay Plan. Therefore, there is
no budget impact as a result of this action.
Relationship to Vision
This is a housekeeping item.
Requested Action:
If it concurs, the Council should offer a motion to approve the attached job description for the
position of IT Coordinator.

SUMMARY
The IT Coordinator position responsible for the development and operation of effective, integrated information
technology systems for the City of Shakopee. This position serves as the City's network manager, and is
responsible for ensuring that all elements of the City's computer system(s) operate efficiently to maximize the
benefit to employees and the public. Coordinates a wide array of IT services for seven City Departments;
working with outside agencies, consultants and contractors as needed. Responsible for maintaining network
security, assessing City's current and future IT needs, prioritization and coordination of all IT projects and
purchases, and development and implementation of IT standards and policies.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties maybe assigned.
Responsible for the overall structure, operation and maintenance of the City's IT network to ensure the
availability of a modern, reliable, and multi-faceted IT system for the City's seven departments.
Responsible for developing and implementing policies and procedures for ensuring the security and integrity of
the City's network. Establishes back-up procedures; administers, develops and maintains City's Storage Area
Network; recommends and oversees City's Disaster Recovery Planning.
Prioritizes and coordinates IT projects and purchases. Ensures City resources are allocated and utilized
appropriately. Compiles project status reports, coordinates project schedules and meetings and identifies and
resolves technical problems to ensure final completion of projects on-time and on-budget.
Responsible for reliable operation of City's VOIP phone system, including configuration, system maintenance,
and troubleshooting.
Anticipates and takes pro-active steps to prevent potential network problems and manage system capacity.
Assesses and makes recommendations regarding organization's current and future technology needs. Works
with supervisor to develop and monitor annual IT budget.
Manages a wide range of hardware warranties, software service agreements and licenses.
Coordinates installation, expansion and maintenance activities related to City's I-Net.
Responsible for development, implementation and enforcement of IT policies intended to protect the City's data
/ network and to ensure hardware and software compatibility.
Works with individual City departments to evaluate and meet ongoing and project-specific IT needs.
Coordinates with outside agencies to ensure appropriate set-up, configuration and connectivity for a variety of
applications.
Determines the need for and provides oversight for IT consultants, contractors and vendors.
Provides day-to-day work assignment, training and oversight for IT Specialist. Assists IT Specialist in
providing desktop support to end users as needed.
Provides training to individuals and small groups to ensure the efficient use of hardware and software.
QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential
duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability

EDUCATION and/or EXPERIENCE
Associate's degree (A.A.) or equivalent from atwo-year college or technical school. Three to five years of full-
time, permanent experience as an MIS professional in a governmental setting or other organization having
similar MIS needs.
LANGUAGE SHILLS
Ability to read and interpret documents such as procedure manuals, technical journals, and operating and
maintenance instructions Ability to write routine reports and correspondence. Ability to speak effectively
before groups of customers or employees of organization.
MATHEMATICAL SKILLS
Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
Ability to apply concepts of basic algebra and geometry.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited
standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or
schedule form.
CERTIFICATES, LICENSES, REGISTRATIONS
The applicant must have a valid Minnesota driver's license, or be eligible to obtain one. MSCS certification is
desirable.

Broad understanding of the role, functions, and responsibilities of city government. Ability to work effectively
with a variety of people and maintain confidentially regarding the content of City data.
