SHAKOPEE TO: Mayor and City Council Mark McNeill, City Administrator FROM: John Peterson, Telecommunications Coordinator DATE: 03/18/2014 SUBJECT: Approval of PEG Fund Expenditure for Video Editing Equipment (F) Action Sought The City Council is asked to authorize the expenditure of $12,055 from the Public, Education and Governmental Access Fund (the "PEG Fund ") for the purchase of new video editing hardware and software. Background The City's current video editing equipment was purchased in 2005 and has become outdated. The equipment is used to create informational videos and programming for the City's Government Access Channel and the City's website. The purchase of new equipment will allow staff to work more efficiently and produce a higher quality video product. Two quotes have been obtained and the low quote for the hardware components is from B &H at a total cost of $11,053. The software will be purchased online directly from each company and is therefore not included in the vendor quote. The purchase would include: 1. Mac Pro ($8,466). Computer with high performance processors, memory cards, and graphics cards. 2. External Storage ($1,345). Video and animated graphic files can take a lot of storage space. The external storage system quoted can hold up to 8TB. 3. Software ($1,000). This includes Final Cut Pro X ($300), Screenflow ($100), and Adobe Creative Cloud ($600). 4. 27" Monitor ($899). 5. Accessories ($343). This includes a wireless keyboard ($60), mouse ($60), display adapter ($10), display mount ($39), and Mac Pro protection plan ($174). Budget Impact This purchase would be paid for out of the PEG Fund which is specifically reserved for the purchase of equipment related to the Government and Educational Access Channels. There is no annual adopted budget for the PEG Fund, therefore individual purchases have generally been brought forward for Council approval as needed. Revenue comes into the fund from a 40 cents per subscriber per month fee on Comcast cable bills. Comcast collects the fee and transmits it to the City on a quarterly basis. The current balance of the PEG fund is $46,641. The City expects to receive an additional $30,000 in revenue in 2014. Relationship to Vision This is a housekeeping item (F).
