SUBJECT: Authorization to Renew Laserfiche Software Assurance Plan(F)
Action Sought
The Council is asked to authorize renewing the City's maintenance contract for its Laserfiche
Software Assurance Plan at a cost of$19,278,48.
Background
The City currently utilizes Laserfiche to house permanent records and to efficiently route
documents though various departments. The Software Assurance Plan is a maintenance contract
that provides a variety of benefits, including staff training, product support, and software
upgrades. Without it, software upgrades and maintenance would not be available. This would
limit the City's ability to keep up-to-date with the most current software which is utilized by City
employees on a day-to-day basis.
Recommendation
Staff recommends renewal of the service agreement.
Budget Impact
The cost of the renewal is $19,278.48. This is an annual cost that adjusts, mostly based on the
amount of full user client licenses the City has. This is a routine and budgeted item. It is being
brought before the Council only because the dollar amount of the purchase exceeds $15,000.

Requested Action
The Council is asked to authorize renewal of the City's Laserfiche Software Assurance Plan for an
amount not to exceed $19,280 from the IT
Fund.
