Action Sought
The City Council is asked to consider a request from the Shakopee Youth Baseball
Association for the construction of dugout roofs at Green Meadows Park.
Background and Discussion
The Shakopee Youth Baseball Association would like to construct roofs to the dugouts at Green
Meadows located at 3100 Thrush St South. The association has submitted a proposal to the
City to fully fund and contract the construction and installation of the roofs over the dugouts at
Green Meadows Park. The cost of the addition is $8,782. The Youth Baseball Association plans
to hire Ron Lambrecht Construction of Shakopee to do the work.
This project will be similar to the dugout roofs that SYBA constructed at Riverview Park this
spring. The work will include adding a Dutchman post extension to the existing dugout posts to
support the roof. The roof will be constructed with treated double 2"X8" support beams and
treated 2"x6" rafters 24" on center. The roof will be attached with Hurricane rafter ties and will be
a medal tin roof with a 45 year color warranty. The association plans to complete the work in
October of 2013. Bill Egan has been working with the association on this project and will be
overseeing the project to completion.
The City will accept the roofs as a donation from the Youth Baseball Association following the
completion of the construction. The roofs will then be placed on the City's Park Asset Plan
however the Shakopee Youth Baseball has agreed to maintain the roofs and fix or replace the
roofs if and when needed.
The City of Shakopee appreciates the generosity and partnership of the Shakopee Youth Baseball
Association, which helps support the City's parks and recreation services and given time and
resources over the years to help make the Shakopee facilities wonderful facilities for the youth.

Requested Action
The City Council, if concur, approve the construction of dugout roofs at Green Meadows Park.
Should the City Council concur, the completed project would be accepted formally as a donation
at a future meeting.

IMPROVEMENT AGREEMENT
2013
This agreement, made and entered into this day of 2013, by
and between the City of Shakopee, a Minnesota municipal corporation, located at 129
Holmes Street, Shakopee, in the County of Scott, State of Minnesota (hereinafter
referred to as "CITY") and the Shakopee Youth Baseball Association, (hereinafter
referred to as "SYBA").
WITNESSETH:
Whereas the CITY is desirous of providing safe facilities to patrons of the Green
Meadows Park; and
Whereas the SYBA wishes to provide roofs over the dugouts at Green Meadows Park
for the safety of the youth baseball players; and
Whereas the estimated construction cost of the roof improvements to the dugouts is
$8,782.00; and
Now, therefore, in consideration of the promises, terms and conditions stated herein, the
parties agree as follows:
I. DUTIES AND RIGHTS OF SYBA
A. The SYBA agrees to fully fund the construction of the roofs over the dugouts at
Green Meadows Park using materials approved by the City.
B. The SYBA agrees to hire and pay Ron Lambrecht Construction to construct the
dugouts in accordance with City and State Code.
C. The SYBA agrees to provide, maintain, repair and replace the roofs necessary.
The SYBA will be responsible for the cost of any maintenance, repairs and
replacement of the roofs.
L. The SYBA agrees to obtain approval from the City prior to making any repairs,
alterations or replacement of the roofs.
II. DUTIES AND RIGHTS OF THE CITY
A. The CITY agrees to assist the SYBA in regular day to day maintenance of the
roofs.
B. The CITY agrees to include the roofs in their park asset inventory and insurance
coverage.
C. The CITY agrees to notify the SYBA of any needed maintenance, repairs or
replacement of the roofs or surrounding facilities that may affect the roofs.
A. This Agreement shall commence upon execution by both parties.
B. This Agreement shall not be assignable except by the written consent of the
CITY.
C. This Agreement shall be governed by the laws of the State of Minnesota.
IN WITNESS WHEREOF, the parties have caused this Agreement to be executed by
their proper officers, thereunto duly authorized, as of the day and year first above
written.
