Authorize Quotes for Furniture, Carpet and Miscellaneous Items for Engineering Division Move to the existing Public Works Building /~.I6.I, CITY OF SHAKOPEE Memorandum TO: Mayor & City Council Mark McNeill, City Administrator FROM: Bruce Loney, Public Works Director SUBJECT: Authorize Quotes for Furniture, Carpet and Miscellaneous Items for Engineering Division Move to the Existing Public Works Building DATE: February 7,2006 INTRODUCTION: Attached are proposals for installing furniture and carpet in the existing Public Works building for the Engineering Division to move to the existing Public Works building for Council consideration. BACKGROUND: Included in the 2006 Budget are funds to move the Engineering Division out of City Hall to the existing Public Works building in order to provide more office space for other departments in City Hall, and also to have all Engineering employees in one area again. In the 2006 Budget, staff has budgeted $20,000 for new furniture for this move. The existing furniture in City Hall would stay for use by other employees. Also, during the budget process, it was mentioned that new carpet should be installed in the existing Public Works building, as well as City Hall, once these moves occur. A budget amendment would be needed for the carpet that was estimated at $17,000 in a previous memo. Staff has assembled the Engineering move expenses to show where funds would come from to pay for the necessary items to complete the move. Attached is a drawing showing the layout of the existing Public Works building offices to accommodate the Engineering staff. In order to accomplish the accommodation for Engineering, the Public Works Department has assisted in the removal of walls, construction of shelves and walls, painting of walls, installation of doors, rework of the entry way bathroom for ADA compliance and overall coordination of other professionals such as plumbers, electricians and use of sentence labor to complete the necessary tasks. This assistance has been cost effective and efficient in getting much ofthe work done and is much appreciated. The estimated budget to complete these tasks, as shown on the estimated expenses is $56,450. To fund this work, staff would utilize the $20,000 in the 2006 Engineering Budget for furniture, utilize salary that is available from a position that is currently vacant, use of other funds in the Engineering Budget and the Public Works Building Maintenance Budget and a budget amendment estimated to be $17,000. The action requested from City Council is to approve the quotes for the carpet to St. Paul Linoleum and Carpet Company for an amount not-to-exceed of $12,874.95 and a furniture quote to be awarded to S& T Office Products for an amount not-to-exceed $24,000. All other items are under $10,000 and can be accomplished within the existing Engineering and Public Works Budget with a budget amendment as previously mentioned. ALTERNATIVES: 1. Approve a motion authorizing the low quote for installation of carpet to St. Paul Linoleum and Carpet Company in the amount of$12,874.95. 2. Approve a motion authorizing the low quote for furniture to S&T Office Products, Inc. in the amount of $24,000.00. 3. Table for additional information. RECOMMENDATION: Staff would recommend Alternative No.'s 1 and 2 to approve the work necessary for carpeting and furniture to facilitate the Engineering Division move to the existing Public Works building. A future budget amendment by the Finance Director wilL be done to assist in paying for work that was not previously budgeted such as carpet. ACTION REQUESTED: 1.
