Fitness Equipment Purchase .s: ,I, CITY OF SHAKOPEE COr~SErlT MEMORANDUM To: Mayor and City Council Mark McNeill, City Administrator From: Travis Karlen, Recreation Supervisor Meeting Date: February 7, 2006 Subject: Fitness Equipment Purchase INTRODUCTION City Council is asked to authorize the purchase of new fitness equipment, a new aerobics sound system, and trade in of three pieces of equipment that need replacement. BACKGROUND AND DISCUSSION In March 2004 City Council approved the reuse of the gymnastics space within the Community Center for fitness activities. The reuse provided a permanent home for our aerobics program, designated cardio and weights area for our members, and better utilized an underutilized space. In 2005 we reconfigured the fitness area, added new equipment and accommodated ADA guidelines. With the improvements we made in 2004 and 2005, we have provided an improved fitness space in the facility we currently.have. Currently we have 3 pieces of equipment that have continuous needs for maintenance and are nearing the end of their life expectancy. In addition, we have a sound system that is used for aerobics that does not always work properly and doesn't play cds correctly (no speed adjustment, which is needed for fitness classes). The 2006 operating budget contains $25,000 for upgrading fitness equipment. We currently have a good selection of equipment for the size of our fitness center and the area is close to its maximum capacity for the amount of equipment that can be housed in the area in accordance with ADA guidelines. Therefore, I am recommending a scenario that would upgrade some of the equipment, replace the current sound system for aerobics. Roman Bench . Lat Bar . (2) Nu Steps . Multiuse Rack . Aerobic Pack Dumbbells We are proposing to trade in the two Quinton Treadmills purchased in 1998, and the one stair stepper purchased in 1995. We are proposing to replace the treadmills with new treadmills. Our stair steppers are not as popular and we purchased 2 new ones in 2005, so we are proposing to replace the old stair stepper with 3 new ellipticals, but a different brand of ellipticals than we currently have. Currently the ellipticals are our most popular piece of equipment. In the evenings there is often a wait to use this piece of equipment. We feel that by providing a different brand of elliptical we are both adding a component that is in demand and providing something new to our fitness area. Proposed Eauipment The following are the bids from two vendors for the fitness equipment and two vendors for the aerobics stereo system. We are recommending the purchase of equipment from 2nd Wind. 2nd Wind's bid was lower than Push Pedal Pull, their warranty is more extensive, and the equipment is slightly different from what we currently have. The diversity of equipment gives our patrons more options for their workout. As part of the purchase, we would also trade in our old equipment. This equipment has reached the end of its life expectancy and has required frequent repairs. The low quote vendor is offering us $900 on trade-in. (If the equipment was in better condition, we would recommend transferring it to the Police Department.) We are recommending the purchase of the aerobics stereo system from Metro Sound and Lighting. Metro Sound and Lighting submitted the lowest bid as well as a better warranty. Metro Sound and Lighting also has a good rapport with other local fitness clubs that use their services. Staff feels that the equipment that will be purchased will allow an enhanced workout and will bring in more members to the Community Center. RECOMMENDATION The staff is proposing the purchase of fitness equipment from 2nd Wind Exercise and the aerobics stereo system from Metro Sound and Lighting for the combined cost of $23,022.40. VISIONING RELATIONSHIP The upgrade of fitness equipment including the replacement of the current sound system will help ensure the long-term viability of the City's commitment of looking to the future for the good of our community and an investment that will serve our residents, employees, and guests in the years to come. Make community welcoming REQUESTED ACTION If Council concurs, move to approve the purchase of new cardio equipment from 2nd Wind Exercise and a new aerobics stereo system from Metro Sound and Lighting in the amount of $23,022.40, and authorize trading in a stair stepper and two Quinton treadmills.
