. Introduction
The Shakopee School District is planning to upgrade the audio, visual and presentation equipment
in the room where the School Board meets, and has requested financial support for the project from
the City's.Telecommunications Fund.
Background
Meetings of the Shakopee School Board are taped by a school district employee and provided to the
City for broadcast on Government Access Channel 16. The equipment used by the school district is
fairly old and they often experience technical difficulties that make it impossible for them to submit
a tape .of a particular meeting. When submitted, the presentation quality of their programs is often
less than that provided by other entities that we broadcast on Channel 16. In order to address this
situation, and improve the overall technology oftheir meeting room, the school district is planning a
significant upgrade to their equipment.
Recommendation
Superintendent Jon McBroom submitted the attached letter to the City's Telecommunications
Commission in December, requesting their support for funding a portion of the project. After
reviewing the scope and estimated cost ofthe project, the Telecommunications Commission is
recommending that the City provide $12,500 from the Telecommunications Fund to the school
district to support that portion of the project whichis directly related to creating a broadcast quality
video for airing on Channel 16,
Budget Impact
The recommended dollar amount can be funded out of the Telecommunications Fund without
negatively impacting the other telecommunications projects and goals the City has established for
the year.
Relationship to Vision
Broadcasting quality video of local School Board meetings provides residents an important source
of information regarding the operation of our public school system, the district's use of taxpayer
dollars and the service of elected school board members; thereby contributing to a vibrant, resilient
and stable community (Goal D).
Requested Action
If the Council concurs, it should offer a motion to provide $12,500 from the City's
Telecommunications Fund to Independent School District #720 to fund a portion ofthe costs of
upgrading the audio/video equipment in the district's board room.

Dear Telecommunications Advisory Commission,
The Shakopee School District would like to improve the quality of the broadcast of school board
meetings to provide information to the community. In order to do so, we are looking to update
the presentation and recording capabilities available in the board room of the district. It has been
suggested that the Cable Commission might be willing to assist with funds to meet the goal of
providing a better broadcast of meetings to the community.
The communications committee of the board has researched the equipment needed to upgrade the
broadcasts. We have quotes at the $30,000 level for the equipment needed. I am writing to
request financial assistance from the commission for this project. Any financialassistance would
be very helpful in making this change in broadcast capabilities possible.
