Authorize Furniture Proposals for the New Public Works Building IS G~ :L I CITY OF SHAKOPEE Memorandum CONSENT TO: Mayor & City Council Mark McNeill, City Administrator FROM: Bruce Loney, Public Works Director SUBJECT: ,Authorize the Furniture Proposal for the New Public Works Building DATE: September 6, 2005 INTRODUCTION: Attached is a memo from Brenda Dever, of Oertel Architects, on a recommendation for furniture and other office items to be purchased from Metro Furniture Solufions office State bid contract, and as per recommendation of Oertel Architects and the Building Committee. BACKGROUND: The Public Works building is under construction and the anticipated move-in date will be in February, 2006. Staff has been working with Brenda Dever, of Oertel Architects, in determining the furnishings that are necessary with the new building. Ms. Dever has been working with the various vendors on the State bid contracts and is recommending the use of Metro Furniture Solutions in utilizing their State bid for the Public Works building. Attached is Ms. Dever's memo on the recommendations. and the cost of the furnishings from Metro Furniture Solutions at a total cost of $46,610.99. In the Public Works building project budget, a total of $60,000.00 was budgeted for furnishings for the new Public Works building. Also, included is a recommendation to purchase $7,153.60 of heavy duty shelving for the parts room from S&T Office Products. This item is being brought to City Council, at this time, in order to take advantage of the 2005 State bid contract prices. The furnishings were reviewed by the Building Committee during the selection process with Ms. Dever of Oertel Architects. ALTERNATIVES: 1. Approve a motion authorizing the acceptance of the proposal from Metro Furniture Solutions in the amount of $46,610.99, and as per the attached memorandum from Brenda Dever of Oertel Architects. 2. Approve a motion authorizing the acceptance of the proposal from S&T Office Products in the amount of$7,153.60 for shelving in the parts room, and as per the attached memorandum from Brenda Dever of Oertel Architects. 3. Do not approve the proposal for furnishings and shelving at this time. 4. Table for additional information. RECOMMENDATION: Staff recommends Alternative No. 1 and No.2, in order to take advantage of the 2005 . State bid contract prices for furnishings and shelving ofthe new Public Works building. ACTION REQUESTED: 1. With pricing in from both Metro Furniture Solutions and S&T Office Products we are currently at $53,764.59, which is $6,235.41 under the projected allowance. Please note that all pricing is under the state contract, which translates to a savings of about 63% off of the manufacturer's list price. I have had a series of meetings with the building committee for the new public works facility. During these meetings I assisted the committee in the decision making process and located the appropriate pieces to suit their needs.
