CITY OF SHAKOPEE Memorandum CONSENT TO: Mayor & City Council Mark McNeill, City Administrator FROM: Bruce Loney, Public Works Director SUBJECT: Authorize Proposal for the City of Shakopee' s New Voice Data and CATV Cabling Installation at the New Public Works Building DATE: August 16, 2005 INTRODUCTION: Attached to this memo are two quotes from Al~ Systems Installation, Inc. and LS Technology for the voice data and CATV cabling installation for the new Public Works building. This agenda item is to authorize a quote for this work. BACKGROUND: In the new Public Works building project, part of the work is to install voice data and CATV cabling for this building to be in compliance with the City's information technology systems. Two quotes have been received and are as follows: All Systems Installation, Inc. $11,596.00 LS Technology $11,883.00 Staff has been working with Carrie Duckett in the IT Department in obtaining quotes for the installation of cabling, voice data and CATV. Per Ms. Duckett, IT Department, does recommend authorizing the quote to LS Technology, based upon previous work done at the Police station and their work experience and knowledge of the people in their company. The additional cost is $287.00 over the All Systems Installation's quote. Staff is agreeable to accept the quote from LS Technology, based on IT staffs recommendation and the fact that the City does not need to take the low quote, pet State law, based on Jim Thomsen, City Attorney. In the Public Works building project budget, $20,000.00 was budgeted for telecommunications which includes cabling within the Public Works building. Additional telecommunication costs will be for telephones that will need to be purchased for the building. ALTERNATIVES: 1. Approve a motion authorizing the acceptance of the proposal from LS Technology at a cost of $11,883.00 for the new voice data and CATV cabling installation at the new Public Works building. 2. Appprove a motion accepting the proposal from All Systems Installation, Inc. at a cost of $11,596.00 for the new voice data and CATV cabling installation at the new Public Works building. 3. Table for additional information. RECOMMENDATION: As previously mentioned, staff would recommend the IT Department's recommendation for accepting the quote proposal from LS Technology at a cost of $11,883.00, to be paid out of the Public Works building project budget. VOICE AND DATA STATION LOCATION INSTALLATION LS Technology will install seventy-two (72) Category 6 data cables at thirty-six (36) locations (per as-builds). Each new voice and data station cable will consist of one (1) 4 pair, 24 A WG, Category 6, General 6000, UTP, plenum, continuous run (no splicing) from the appropriate Wiring Closet to the Communications Management Outlet at the workstation. At the workstation each cable will terminate all four pair on Panduit Cat 6, 8-conductor, RJ45 jacks wired to T568B. In the Wiring Closet, each Category 6 cable will terminate on Panduit Category 6, 568B, 48-port patch panels. All patch panels will be mounted in a floor-mount rack provided by LS Technology Group with ladder racking to the nearest wall. The data rack will also be supplied with vertical and horizontal wire management. All Category 6 cables will be tested and certified with a Microtest OmniScanner and printed results provided to the City of Shakopee. All work will be completed so as to conform to the manufacturer's specifications, the latest edition of the National Electrical Code, TIAlEIA-568-B, TIAlEIA-569, TIAlEIA-606, TIAlEIA-607, and all local and state codes and ordinances. Where a conflict exists, local codes and ordinances will supersede all other requirements. . All cables will be installed with their own support system. . The installation will meet all NEC fire installation standards along with state and local laws. . Change orders will only be accepted on a written basis or with verbal authorization from a designated appointee. . We will work with United Properties/Caremark and their other contractors in the final design, installation and service of your system. . We will coordinate with the telephone and computer vendors to insure proper installation. . All work to be performed during regular working hours. . Pricing does not include installation of vertical cores through concrete or wiremold raceway if cable pathway is not accessible. . At the end ofthe project, as-built drawings will be delivered in print. Details ofthe prints will be decided upon before work begins, e.g. cable pathways, station identification codes, etc. . LS Technology assumes that all pathways are clear and accessible with the necessary capacity for the work to be performed as described in the Specifications/Statement ofWorklScope of Work. It is the responsibility of the client to provide adequate pathways where deficiencies are present. . Pricing does not include J boxes, mud rings or conduits. . LS Technology will install all data patch cables within the Tech Room. . LS Technology will provide one (1) additional 48-port patch panel for the voice switch tails but the tails will be terminated by the phone vendor. .. . . O' 6. This proposal includes all time and materials to perform this work as discussed per our telephone conversation. SCOPE OF WORK 1. Install 25 Cat.6 Berktek Lanmark 1000 plenum data cables and 25 Berktek Lanmark 1000 plenum voice cables. 2. Install 3 plenum RG6 quad shield coax locations. 3. Terminate all voice and data cabling with Ortronics Clarity Cat.6 jacks and patch panels. Install Ortronics stainless steel faceplates at each user location. All voice and data cabling will terminate in separate patch panels at the head end. 4. Install 1 free standing Ortronics Mighty Mo 3 data rack (part # OR-60400169) with 2 Ortronics Mighty Mo 3 vertical managers. 5. Install 12' of 12" black CPI ladder racking with supports from data rack to wall. 6. Install approximately 60 cable support hangers for new cable pathway. 7. Terminate, test, label and document all voice and data cabling according to current BISCI standards. PRICING The price for this proposed installation will be as follows: Materials $6,038.00 Labor $5.558.00 Total $11,596.00 Patch cord pricing: Clarity Cat.6 blue 3' are $5.95/ea. WARRANTY The data and voice cabling set forth in this proposal is covered by a 2-year warranty by All Systems Installation that covers parts and labor on cable and connecting hardware installed. Manufactures extended warranty will apply if requested for this install.
