SHAKOPI~ TO: Mayor and City Council Mark McNeill, City Administrator FROM: Kris Wilson, Assistant City Administrator DATE: 06/18/2013 SUBJECT: Updated Costs for City Hall and Community Center Remodeling Projects (F) Action Sought The Council is asked to authorize the expenditure of additional funds from the Government Buildings Internal Service Fund for the recently completed remodeling projects at City Hall and the Community Center. Background On March 19, 2013, the Council approved plans for remodeling office space within City Hall and the Community Center, in large part to accommodate additional employees in the Administration and Parks, Recreation and Natural Resources departments. The total cost of the two projects combined was to be $47,000. Unfortunately, several unanticipated costs were incurred in completing the projects. The primary contractor delivered his scope of work within the quoted price. However, the budget Council approved was based on a staff estimate for the electrical work and that estimate proved to be too low. Secondly, our three- person facilities maintenance department lost one person to a medical leave shortly after the project began, forcing us to contract out for items such as patching the carpeting and the ceiling tile grid, which we originally planned to do with in -house personnel. Lastly, once the project at the Community Center was underway the need for HVAC and sprinkler head work was discovered, which presented an additional unplanned expense. An itemized list of the final project costs is attached. Budget Impact The total cost to complete the two projects came in at $62,500. With Council's approval, the Government Buildings Internal Service Fund can accommodate this with no adverse impact to other planned projects. Relationship to Vision This is a housekeeping item. (F) Requested Action The Council is asked to authorize the expenditure of $62,500 from the Government Buildings Internal Service Fund for the recently completed office remodeling at City Hall and the Community Center.
