IjU'~l~ " CI TO: Mayor and City Council Mark McNeill, City Administrator FROM: Kris Wilson, Assistant to the City Administrator SUBJECT: Purchase of Software and Server for Key Card Access System DATE: December 27,2005 Introduction: During the 2006 budgeting process, the City Council approved the concept of utilizing $30,000 from the city's General Fund fund balance to purchase a key card access system for City Hall. Staff is now seeking authorization to spend a portion of this amount ($6,200) to purchase computer software and a server that will operate the key card system at City Hall, the old and new public works buildings, and the police station. The remaining $23,800 will be used to purchase and install the City Hall system later in the year. Background: In order to provide improved security for city facilities and staff, the city is moving to key card access systems for an increasing number of city buildings, The Police Station currently has a key card system in place; the Council recently authorized the purchase of the same technology for both the old and new public works buildings; and a similar system is planned for City Hall in 2006, While purchase and installation of the City Hall system is still a few months off, there is an immediate need to purchase the software and server that will run the system city-wide. The police department's current system is running on a desktop workstation, rather than a server, and cannot handle the addition of three new buildings, In order to have the necessary system up and running when the new public works building opens, the software and server need to be purchased now. Budgetary Impact: During the 2006 budgeting process, the Council approved the concept of utilizing $30,000 from the General Fund fund balance for City Hall security, with the understanding that it would be brought backto Council for formal authorization prior to any expenditure. Staff is now seeking authorization to spend up to $6,200 of the $30,000 planned for City Hall security for the purchase of the necessary software and server. The quoted price for the software is $2,072 and the quoted price for the server is $4,083. If approved, a budget amendment will be brought to the Council at a later date.
